Have Questions? We're Here to Help

Thank you for speaking at Heartland Conference! Here's what you need to know for a successful conference. Please continue to check back here as we get closer to June for additional details.

Important Dates

Friday, March 28: Review your session information on the Heartland Agenda and confirm your acceptance to speak by emailing HeartlandEducation@vgm.com

Friday, May 2: PowerPoint and Handouts Due - email all materials to HeartlandEducation@vgm.com

PowerPoint slides and handouts are due Friday, May 2.

We highly recommend you provide a handout. Handouts will be available to attendees to download from the attendee portal on the Heartland website. If you would like to provide paper copies, we suggest that you print them and bring them to hand out. You must email all materials to HeartlandEducation@vgm.com no later than Friday, May 2, 2025. DO NOT ATTEMPT TO UPLOAD THEM IN THE PORTAL.

Please note, we do not allow for logos from your organization to be placed on each of your slides. You may place your organization’s logo by your contact information on your last slide. All presentations will be reviewed by our Education Committee and could be subject to edits if branding and speaker agreement guidelines are not followed.

As a reminder, sessions should be educational in nature and should not promote a specific product. The intent of all Heartland sessions is to be educational and not a sales pitch. Even if your product is the only one available in a specific Medicare category, your organization’s name should not be used.

The following are suggestions to make your presentation go as smoothly as possible during the VGM Heartland Conference.

  • PowerPoint/handouts must be less than 20 megabytes.
  • Include your name on the first PowerPoint slide and provide your contact information at the end.
  • Dark backgrounds typically show up better for the audience. The PowerPoint template offers both white and black backgrounds.
  • You may include your company's logo only next to your contact information. Please do not include your company's logo throughout the presentation.

If your presentation has an embedded video, it may not work when the PowerPoint file is copied from the computer it was created on. If a video is essential to your presentation, we recommend that you test the video on your own laptop to confirm that it works, then bring your laptop to use during the presentation.

If your presentation includes a video that is streamed from the internet (such as a YouTube video), please be aware that the quality of the video may be degraded if there is a high amount of traffic on the Wi-Fi network.

As a speaker, you received complimentary registration for yourself for Heartland Conference. This includes entry to nightly social events, education sessions and meals. Please use the link in your email to register and enter your accreditation/license numbers if you wish to receive CEUs. Please note, panelists do not receive complementary registration.

Once you arrive in Waterloo, speakers must check in at the Waterloo Convention Center Registration Desk to print name badges. Once checked in, please visit the Speaker Ready Room, which will be on the first floor of the convention center.

Each education room will include a laptop with your PowerPoint slides, slide advancer, screen, projector, and microphone. A staff member from VGM IT will be available if you have questions about technology. If you have any specific technology requests, please email them to HeartlandEducation@vgm.com.
